These documents are being prepared for launch. Our Stairwell Ltd has not yet been incorporated. Customer subscriptions will open only after incorporation and completion of the supplier details and launch terms. This draft does not offer a subscription from an existing limited company.

This Acceptable Use Policy (AUP) forms part of the Master Subscription Terms. Customer is responsible for its authorised users and for responding to misuse within its workspace.

1. Use the Service for its intended purpose

The Service may be used for lawful internal management, administration, communication and governance of Customer's buildings and resident community. It must not be used as a public file-sharing service, bulk marketing platform, emergency service or system for activities unrelated to Customer's legitimate work.

2. Prohibited content and conduct

Customer and users must not use the Service to:

  • break any law, court order, regulatory requirement, lease obligation or third-party right;
  • harass, threaten, stalk, defame, discriminate against or deliberately humiliate a person;
  • upload unlawful, fraudulent, deceptive, obscene or exploitative material;
  • infringe privacy, confidentiality, copyright, trade marks or other intellectual-property rights;
  • send spam, unsolicited bulk messages, chain messages or misleading communications;
  • impersonate another person or misrepresent authority, identity, decisions or records;
  • publish personal data more widely than is necessary for the legitimate building-management purpose;
  • use personal data for profiling, advertising, tenant screening or decisions unrelated to the Service's intended purpose;
  • submit payment-card details, account passwords, authentication secrets or private cryptographic keys in free-text fields or documents;
  • knowingly submit malware, ransomware, destructive code or content intended to compromise a system; or
  • encourage, assist or conceal any prohibited use.

3. Security and platform integrity

Users must not:

  • share accounts or authentication credentials, defeat multi-factor authentication, or use another person's account;
  • probe, scan or test vulnerabilities without Supplier's prior written authorisation;
  • bypass permissions, access controls, rate limits, usage restrictions or security measures;
  • access or attempt to access another customer's data or any non-public system area;
  • reverse engineer, decompile or copy the Service except where applicable law does not permit that restriction;
  • use automated means that place an unreasonable load on the Service or materially disrupt other users;
  • scrape the Service or use its output to train a model without Supplier's prior written consent; or
  • perform security research against production. Proposed research should be reported to security@ourstairwell.uk.

4. Communications and community records

Customer must use proportionate, factual and respectful language in announcements, meeting materials, contractor records and resident communications. Customer must not treat the Service as a substitute for legally prescribed notices, emergency warnings or confidential professional advice unless it has confirmed that the relevant delivery method and content satisfy applicable requirements.

5. Sensitive information

The Service is not designed to require special-category data, criminal-offence data or detailed information about a person's health, vulnerability, immigration status, beliefs or private life. If Customer has a documented and lawful need to record such information, it must minimise it, restrict access, set an appropriate retention period and apply any additional safeguards required by law.

6. Fair resource use

Customer must stay within documented file, rate and storage limits and use exports and integrations reasonably. If usage threatens security, stability or other customers, Supplier may ask Customer to reduce it, apply reasonable technical limits, or agree an appropriate plan before continuing that usage.

7. Reporting and enforcement

Suspected abuse should be reported to support@ourstairwell.uk; security issues should be reported to security@ourstairwell.uk. Supplier may investigate credible reports, preserve relevant evidence and require Customer to remove content or access.

Supplier will normally give notice and a reasonable opportunity to remedy a breach. It may immediately restrict content, accounts or features where reasonably necessary to prevent harm, protect data or systems, comply with law, or address serious or repeated misuse. Supplier will limit action to what is proportionate and restore access when the risk has been resolved. Material or repeated breach may lead to termination under the Master Subscription Terms.

8. Changes

Supplier may update this AUP as threats, law and Service features change. Material changes follow the notice process in the Master Subscription Terms. Changes needed to address an active security or legal threat may take effect sooner, with notice as soon as reasonably practicable.
